Privacy Policy
Luna Desk LLC ("Luna Desk", "we") provides an automated phone receptionist, Luna, and booking tools to nail salons. This policy explains what we collect when you call a salon that uses Luna Desk, book an appointment, or receive a message from us.
What we collect
- Your phone number (from caller ID) and the name you give.
- Appointment details: services, date and time, technician, and any notes.
- Call transcripts and short call summaries, so the salon can review calls and improve service. We do not keep audio recordings of calls.
- Whether you agreed to receive text messages, and the messages we send you.
- For salon staff: name, email, and the actions they take in the dashboard.
How we use it
Only to book and manage your appointments with that salon, send the confirmations and updates you asked for, let the salon's staff see and manage their bookings, and keep the service secure and working. We do not sell your information and we do not use it for advertising.
Who we share it with
The salon you booked with, and the service providers that run Luna Desk for us: cloud hosting (Google Cloud), voice and AI processing (Vapi and its speech and language model providers), text messaging (Twilio) and email delivery (Resend). They may only use it to provide their service to us.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
How long we keep it
We delete your information (your customer record, appointments, messages, call transcripts and summaries, and the texts and emails we sent you) automatically 12 months after your last appointment or call with that salon. Booking or calling again starts the 12 months over. We never keep audio recordings of calls.
Salons can ask us to delete their data at any time.
Delete your information
You can ask us to delete your information at any time, without waiting 12 months:
- Fill out our deletion request form, or
- email support@lunadesk.cloud with your phone number and the salon you called.
To protect you, we confirm the request with the phone number on file before deleting anything. We finish within 30 days, usually much sooner, and let you know when it's done. Deleting cancels any upcoming appointments made through Luna Desk, so call the salon if you want to keep one.
Your choices
Reply STOP to any text to stop messages. To see or correct your information, email support@lunadesk.cloud.
Security
Data is encrypted in transit and at rest. Salon staff use an invite-only account (password or Google) that only shows their own salon's data. Our system logs leave out names, phone numbers and call content.
Children
Luna Desk is not directed to children under 13, and we do not knowingly collect their information.
Changes
We will update the date above when this policy changes.
